General Updates

Settings menu

The Settings menu now displays as a sub-menu list from the main menu replacing the Core Settings menu page. Click on the Settings icon to view the settings menu items.
Click on a settings item to open the related setting (opens in the same tab or right click to open in a separate tab).

Document Entities Count

The number of Entities added to a Document is now shown against the Entities label above the Entities list. The count is updated whenever a new Entity is added or deleted from the Document

View Document Links Time Dependency

In a Document on the Links page, mouse / hover the cursor over the status line on Document Links to view the time dependency details. This enables the details to be viewed at a glance without having to open the Link. If the Link type has a time dependency but no Start or End time has been recorded, or if the link type does not have a time dependency then nothing shows.

Settings and Notification Categories for Organisation Logs

Additional logs have been added to the Organisation History records for changes to Settings and Notification items. These will now show the category of Settings or Notifications replacing the previous N/A.

User Profile

The User Profile layout has been refreshed and now opens in a side panel on the right when opened. The Log Out button is also available within the User Profile panel.

Notifications

The Notifications layout has been refreshed and now opens in a side panel on the right when opened and defaults to Unread notifications. Select 'Read' to view the last 10 read notifications. Select 'Pinned' to view up to the last 10 pinned notifications. Hovering over when the notification was received (hours or months) shows the notification's created date. Selecting View All opens the All notifications list in a new tab.

New Feature:

Analytic Charts Time Bar

ModalConnect Analytics has been enhanced with new features to help visualize dynamic graph data and has improved processing capability.

Charts now include a time-bar component where Links are shown in relation to a link's time-stamp. This feature helps analysts explore and understand when and how events occurred and networks form, cluster, fracture and dissolve over time. Navigation controls allows users to move back and forth along the time-bar manually or 'play through results' to view how Entity links evolve over time with the ability to focus on selected months, years or even zoom in right down to daily activity.

Key Points:
1: A time-bar with graph has been added to Analytic Charts to provide further insights into Entities and their links.
2: Every Entity and link has a time-stamp allowing links to be viewed and tracked in relation to the time-bar.
3: time-bar navigation tools make it easy to focus on a date range and track Entities and Links over time and even to 'play through' link event sequences.
4: An interactive bar graph marks the date where Entities and links are time-stamped, and when a bar is selected it 'pings' the related Entities and/or links for that time to focus on those Entities and links.
5: Entities and links time-stamps are sourced in order from;
- the Entity'slink time dependencies record
- the related Document's event date if no link time dependency record exists
- the Document creation date if no event date or link time dependent record.
6: Document Entities with no links , default to the document(s) event date or the document created date (where no event date).

How Document Entities and Links are time-stamped.

Every Document Entity and link has a time-stamp which determines where the Entities and links appear on the time-bar. One of three events are used to time stamp Links with the following order/priority.

  1. Link Time Dependency; Where a Document link exists which has a Time Dependency record with a Start date but no Finish date, the Start date is used on the time-bar. Where the Time Dependency record has a Finish date, the Finish date is used for the time-bar.
  2. Document Event date; Where an Entity has no links in the Document or has links that have no time dependency or the Link time dependency record has not been completed, then the Document Event date (sourced from the Document details) is used for the time stamp.
  3. Document Created On date; Where a Document Entity has no links (within the Document) or there are links that have no time dependency record and the Document has no Event date, the Document 'Created On' date is used to time-stamp an Entity and/or link.

Navigating the Time Bar.

When a chart first loads, it only shows the Entities and links for the Document, Entity or Entity Profile chart being viewed, that have a time-stamp that falls within the period of the date range. Each Entity and Link event is represented by a bar on the time-bar. The bigger a bar the more Entities and Links there are that are time-stamped for that date. If there are links with time stamps outside of the date range, they may be visible but are faded out and not shown on the chart, these can be viewed by navigating back and forth along the time-bar or by expanding the date range.

Navigating the Time Bar

  • To navigate the time-bar either click on it and drag backwards or forwards or use the back<< and forward >>buttons in the navigation bar (which jump back or forward to the preceding or next date range period -e.g 12 months).
  • Moving the start and end Date Range markers will decrease or increase the number of months within the date range.
  • The double arrow button on the left moves the start of the date range to the earliest and out to the latest dated links and brings all Links for that chart into view. Note this is likely to include much larger data sets.
  • To bring more or fewer months within the date range use the + to zoom in which decreases the number of months in the date-range, and use - to increase the number of months within the date-range, or click on the time-bar and mouse up to zoom down to selected months. Or keep zooming down to view days, or out to increase the number of months.
  • Play through the Links within the date range; click the play button to automatically play-through the Link events from the start of the date range to the last to watch how the Link events evolve over the period.

Time Bar Graph

The bar graph pin-points the Entities and links date stamp. Click on a bar to view 'ping' the related Entities and Links on the Chart. Or click on an Entity on the chart to view where it appears on the time-bar which may include a single point or multiple points across a period of time in relation to it's links and events.

Select an Entity to view where it's links and events occurred.

Note; To view all Entities and link results on the time-bar - click the 2 way arrow which expands the date range to include all links.

Entities showing have further links beyond those found from the initial results. Click on the + to load and view further links for the current date range.

Release summary

Attachments

  • Document Entities can now be appended to document attachments (as per Notes) which adds the attachment to the selected Entity's Profile.
  • Attachment details now include both the added and modified dates and by which user.
  • Entity attachment details and the profile attachment listing also include the related document title for shared attachments, the title is linked back to the document.

Document Category Formatting options.

  • Formatting can now be applied (in Settings) to Document category labels; including to capitalize, bold and/or apply colour to the label.
  • In the entity profile, document categories with formatting can be more readily identified.

File Status Action

  • A File and all it's related documents can be set to 'Read-only' which locks all it's related documents and their links, notes & tags and attachments while still allowing read-only access.
  • Locked Document Entities can still be edited from their Entity Profile.
  • Documents can not be added to or transferred to or from a read-only File.
  • A padlock shows against the document title wherever the title appears; My recent documents, all documents list, document notes (in the Entity Profile).

Attachments

There are two new Attachment features.

1: In Document attachments, the Document Entities can now be appended to attachments (this is the same function as available in Document Notes). The attachment is then automatically added to an appended Entity's Profile.
2: Additional details are available in the attachment listing to include it's Title, File Type, Date Added, Added By User, Modified Date and Modified By (user).
3: The Entity Profile attachment listing - both on the main Profile page and the Attachments page also includes the related Document name where an attachment has been appended to the Entity via a Document attachment. The Document name is also linked and opens in a new tab if selected.
4: The Attachment list details can be sorted by column, the default list order is by most recently Added Date. A new 'Manage columns' tool has been added to the attachments table, enabling the columns order to be rearranged ().

Append Entities to a Document Attachment

From a saved Document Attachment, select edit and the 'Edit Document Attachment' window shows and includes the Title of the Attachment and a Description field where a description can be added or existing description edited. The Document Entities are listed on the right and can be selected individually or check Select All to append the Attachment to all the Document's Entities then Finish. Once saved, the Attachment will also be added to the selected Entities Profile.

Removing appended Entities or Attachments

  • Entities can be removed from a Document Attachment >Edit the Document Attachment and deselect Entities > click Finish which automatically removes the Attachment from the selected Entity(s) Profile.
  • Deleting an Attachment from the Document also deletes the Attachment from any appended Entities.
  • An appended Attachment can be deleted from an Entity Profile. This also deselects the Entity from the Document Attachment but does not delete the Attachment from the Document.

View Attachment Details

The Attachment details now appear in table format and include the Attachment Title, File Type, Date Added, Added By User, Modified Date and Modified By. The Actions column contains the Edit and Delete buttons. Columns can be dragged to resize (excluding the right side of the action column).

Hidden Attachment details can be viewed by clicking on the ellipsis at the end of the row or by zooming out to make the text smaller.

Attachments are shown by Date Added order (starting with the Attachment selected) when selecting the Next and Previous buttons in the Preview pane. The Attachment list can be sorted by any column - click in a column header to sort. The column order can be re-arranged by clicking on the 'Manage columns' tool (next to the action column)

Entity Profile Attachments

The Entity Profile Attachments details - both on the Profile page and the Attachments page also include a column for the related Document Title where the Attachment was appended to the Entity from a Document Attachment. The Document name is linked to the related Document which opens in a new tab if selected.

New Features:

Document Category Formatting options.

In the Settings for Document Categories, formatting can be applied to the Text using capitalizing, bolding & colour. The formatting is also applied to the appended 'Document' text. To apply capitalizing or bolding to an existing category select Edit (or complete if adding a new category) and check the columns for the required formatting (capitalize or Bold), to apply colour to the text click into the colour picker, move the slider to the approximate colour type and then click on the colour swatch for the grade. Save changes. All 3 options are editable.

The formatting is applied to the Document Categories in the Entity Profile.

New Feature:

File Status Action

New functionality has been added for the File Status. The functionality enables an action of 'Update' or 'Read Only' to be set against the File status. The default status action for all Files is 'Update'.

Files with a Status Action of Update - enables new Documents to be added or existing Documents transferred to or from the File. The File's Documents can be updated including the Document's Entities, Links, Notes & Tags and Attachments.


Files with a Status Action of Read Only are not available for selection when adding new Documents or transferring Documents. The Read Only File and all it's related Documents (including the Document's Entities, Links, Notes and Attachments) can still be accessed and viewed, but cannot be updated. In the Entity Profile Documents lists, Documents and Notes from Read Only Files are shown with a padlock icon to indicate that the Document or Note is not editable.

Key Points:
File Status Actions
1: An action of 'Update' or 'Read Only' can be applied to the File Status in the System Lookups by System Administrators. The default action is Update.
2:Update- enables a new Document to be added or existing Documents transferred to or from the File. The File's Documents can be updated including the Document's Entities, links, notes & tags and attachments.
3: Read Only - the File is not available for selection when adding new Documents or transferring Documents.
The File and all its related Documents (including the Document's Entities, links, notes and attachments) can still be accessed and viewed, but cannot be updated.
4: Documents from Read Only Files show a padlock against the Document Title; in the Document, My Recent Documents list and the Entity profile Documents lists.
5: Updates can still be made in the Entity Profile for the image, summary, tags, properties and attachments.

System Administrators

The File Status action has been added to the File Status in the System Lookups. The Action default setting is 'Update' and will apply to all existing File statuses. The Action against a File Status can be applied by System Administrators within the System Lookups. The Status action can also be updated to individual Files within the File details.

To edit a File Status action, go to Settings> System Lookups>File Status and select Edit for the Status name - select the Action then Save. Note this Action will be applied to any Files with that Status name.

Edit an individual File's Status

A File's status can be edited in the File details, by users with the Edit a File permission.
In the File on the Details page select Edit then select the Status action and Save changes.
The selected action will apply when the edit has been saved.

Note: If Documents of a File are currently being edited and those edits are saved after the File Status Action of Update is changed to Read Only, those Document Edits will still be saved.
It is recommended to make any File Status Action changes at a time of low activity e.g at the end of the work day or advise users not to make changes to Documents of the affected File(s) at the time of the change.

Documents

Document visibility remains unchanged so Users still only see the Files, Documents and Entities they have permissions for, regardless of the File status.

Locked Documents

Documents of a File with a Read Only status, show the following details on the Entity Extraction page;

  • A padlock icon shows against the Document Title to indicate the document is Read-Only and cannot be edited
  • The Document edit button is disabled
  • The Status name and Read Only next to the File label in the Details

The following actions are not available in a locked 'Read Only'' Document

  • Entity Extraction page; Add, Edit or remove the Document Title, Content, Properties, Details or Entities
  • Links; Add, open-edit or remove Links.
  • Notes & Tags; Add, edit or remove Notes and Tags
  • Attachments; Add, edit or remove Attachments
  • Users; Add, edit or remove users.

The following actions are available in a 'Locked' Document from a Read Only File.

  • View Document Properties.
  • Pin or unpin the Document
  • Print the Document
  • Sort the Document Entities list
  • View a Document Entity's remembered terms in content
  • View Suggested Entities (but not add)
  • Right click on a Document Entity for the Go to Entity Profile option
  • Links - View the Document Chart
  • Notes - open and view Notes
  • Attachments - View attachments within the Preview pane. Download an Attachment. Expand Attachment.
  • Manage Document Users; add or remove

The 'Read Only' File

The following features are available to Users with these File permissions

  • Users with both View File and Edit File permissions can edit the File Details including changing the File Status
  • Users with View File and Entity merge permissions can view the File Duplicates and merge Entity duplicates
  • Users with File permissions to view and manage users of a File can add, edit or remove File Users

Locked Documents listed in the Entity Profile

Any Documents in the Entity Profile's Documents list from a Read Only File, show a padlock against the Document Title. The Document can still be viewed (in read only mode only) by clicking on the Title.

The My Recent Documents list also shows a padlock against any Documents from Read Only Files.

General Updates

The Document Title has been added to the Document menu.

Resize columns
